Processing Forms

Application form lifecycle

Every application follows a clear path from creation to approval. Some forms require client approval before submission; others go directly to @sipp for review.

The platform automatically emails everyone involved as a form moves through each stage — so nobody needs to keep checking the portal.

Your client is notified when they need to act, you're notified when they approve or decline, and @sipp is notified when a form is ready for review.

Navigate to Applications

From the sidebar, click Applications to see your current cases. Organisation Admins will find this under Central Servicing → Firm Applications.

Click the New Applicationbutton in the top right. You'll be taken to the form selection screen where you choose the form type on the left and the client on the right.

Review and choose a signing channel

When all sections are complete, you see the Review & Send page. For forms requiring client approval, choose how the client should authorise — via the Portal or via PandaDoc.

What is PandaDoc?

PandaDoc is a secure electronic signature service — similar to DocuSign or Adobe Sign. When you choose this option, your client receives an email with a link to review and sign the document electronically. They don't need a PandaDoc account or to install anything — they simply verify their identity with a one-time passcode and sign in their browser.

Both options send the form to the client for authorisation. You cannot change after sending.

Portal requires an account

If the client doesn't have a portal account, the “Send via Portal” option is disabled. You can request portal access for them or use PandaDoc instead.

Client reviews and approves

The client receives an email notification and either reviews in their portal (ticking declarations before approving) or signs electronically via PandaDoc.

Admin review

Once the client has approved (or for skip-signing forms, once you've submitted), the case moves to @sipp for admin review.

No notification is sent to the client. The @sipp admin is notified immediately when you submit.

Same admin review process

The admin review (approve, return, manually sync) works exactly the same as for client-approval forms.

Organisation Adminscan create skip-signing forms for any client in the firm via Central Servicing — not just their own clients. The form is attributed to the Org Admin who created it, not the client's assigned IFA.
